Keeper Help Bot – User Guide
The Keeper Help Bot is an AI-powered assistant available in Minerva Messenger that helps researchers, students, and staff quickly find answers and support related to Keeper, a Max Planck Society’s platform for managing, synchronizing, sharing, and archiving research data.
How to Access the Keeper Help Bot
The Keeper Help Bot can be accessed directly within Minerva Messenger through a private chat.
1. Open a direct message
Click on the plus (+) sign to start a new conversation.

2. Select the bot
Type @keeper_help and click the plus (+) sign next to @keeper_help when it appears in the selection window.

3. Enter your question
Type your query in the chat window and send it.
- The bot will generate a response in a new thread.
- To continue the conversation and retain context, reply to the previous answer in the same thread.
- To start a new search or topic, type a query in the main messaging window, which will create a new thread.
*HINT: Use the Collapsed Reply Threads feature in Settings → Display interface to manage multiple threads efficiently.

The Keeper Help Bot provides fast support and guidance on common Keeper-related tasks, including file synchronization and sharing, library and folder management, user permissions and access control, troubleshooting technical issues, research data management workflows, and best practices. Please note that the Keeper Help Bot is a help tool and does not replace official user support.
Infrastructure and Technical Information
The Keeper Help Bot is designed with strong privacy and data protection principles.
- All user requests are processed within the internal infrastructure operated by GWDG and MaxIT
- No data is transmitted to external commercial LLM providers such as OpenAI
- User queries are processed solely to generate responses and are not used for model training
- Personal data from Minerva Messenger remains within the MPG infrastructure
The bot is powered by the Gemma LLM, deployed entirely within the MPG-controlled environment. This ensures that all processing, data handling, and responses remain secure and fully internal to the Max Planck Society systems.
The bot’s responses are based on a curated knowledge base of question–answer pairs. These are sourced from structured FAQ entries in the Keeper Help Manual, the Seafile User Manual (Keeper is based on Seafile technology), and anonymized support tickets from the Keeper customer service system (Zendesk). All personal and institutional identifiers were removed from the tickets before use.
